The Role

We need an Operations Coordinator to join us and support the teams across our Operations Group, which include the Creative studio team, our Production/Project Management team and our revenue-making Business Units.

As Coordinator for the team, you will be responsible for the delivery of Exec and Senior Leadership Team and Board scorecards and for reporting against multiple strategic and tactical projects, across the Ops group.

You’ll support the wider Operations team in coordinating a cross-functional reporting approach and ensuring our systems are providing accurate data, feeding our business scorecards. Your day will usually involve having multiple communications across members of our Ph production, sales, creative and finance teams, to ensure timely supply of accurate project and income recognition updates. These will support you in delivering accurate business scorecards which reach the right audience, at the right time, to enable fast, effective decision making, course correction and process improvements. You’ll also provide crucial insights to enable our Operations team to improve their ways of working - and you’ll help deliver strategic projects which improve Ph’s ways of working, such as improvement of our use of core business tools such as Hubspot, MS365 (Teams, Yammer, OneDrive etc.)

You’ll be part of an exciting journey as we continue to build a World class team, honing our ability to profitably deliver client projects around the world. As part of the Operations team, you’ll act as an integral cog – coordinating input from across the group and delivering scorecards and reports, offering data insights and keeping a finger on the pulse of our income recognition, ensuring that we understand where the value lies in our business model.

You’ll be our go-to for income reporting insights and trends, you’ll live and breathe our business results and scorecards and you’ll be our guru on income recognition delivery.

You’ll definitely need to be a self-starter, and it’s going to be a little chaotic at first while you build this new role. So, you’ll need to thrive in the madness, and be determined to put your own stamp on what you do.

What’s more, we’ve got such a wide range of clients and projects that it can be tricky for our team to please them all, so you’ll need to find a way to secure the information you need, from a super-busy team - which can be quite the challenge.

What You'll Need to Bring

  • Excellent data analysis and report-writing experience.
  • Proven ability to communicate effectively, collaborate and co-create with team members across multiple functions.
  • Strong research experience, showcasing the ability to work with qual and quant information and data sets and translate this into digestible reports and insights
  • Strong communication and interactive skills.
  • Be data literate, obsessing over metrics and reporting and using the numbers to direct your decisions with insight and confidence.
  • Project management experience, managing and balancing multiple priorities and workstreams.
  • Hands-on experience with MS Office Suite (particularly MS Word and MS Excel).

What Will You Be Doing?

  • In collaboration with the Chief Operating Officer, creating weekly and monthly reporting decks for our executive and senior leadership teams, showcasing the consolidated and individual BU income recognition across our Business Units.
  • Delivery of the agreed reports in a timely manner, meeting Leadership deadlines.
  • Monitoring project budgets, monitoring costs and preparing a monthly profit/loss report.
  • Co-ordination and collaboration with the production, creative & BU teams to ensure timely, accurate and effective reporting.
  • Prepare presentations, spreadsheets, and reports for Operations teams and Ph leadership.
  • Monitoring of creative studio team’s tracking to ensure they are logged in a timely and accurate manner.
  • Creating great relationships with everyone at Ph… collaborating across creative, account, production, and management teams, ensuring we are constantly aligned in our offerings, ways of working, project deliverables and timelines.
